The Role

Cockroach Labs is hiring an Executive Assistant to support our CEO. This is a high-trust role that requires someone who is organized, reliable, proactive, and deeply service-minded. You'll keep the CEO running smoothly, managing a complex calendar, coordinating travel, handling logistics for meetings and events, and making sure nothing falls through the cracks.

You're someone who takes genuine pride in the craft of great executive support. You're thorough, calm under pressure, and you anticipate what's needed before being asked. You thrive in a fast-moving environment, build strong relationships across the company, and hold confidentiality as a non-negotiable standard. Everything that touches the CEO's office reflects on it, and you hold a high bar for how things look, read, and land, whether that's a calendar invite, a travel itinerary, or a note drafted on someone's behalf.

You must be based in New York City to be eligible for this role, and will be expected to go into our office on Mondays, Tuesdays and Thursdays with additional days as needed based on the CEO's schedule.

You Will

  • Own complex calendar management, travel, and day-to-day logistics for our CEO, with ad hoc support for the broader C-suite
  • Coordinate high-stakes executive engagements, including Board of Directors meetings, customer meetings, executive off-sites, and conference appearances, managing logistics from planning through execution
  • Manage complex domestic and international travel end-to-end, including itineraries, accommodations, transportation, and required documentation
  • Prepare the CEO for key meetings and engagements, including briefing materials and relevant background on external participants
  • Partner with executives, internal teams, Board members, and external contacts to ensure seamless coordination and communication
  • Prepare and reconcile expense reports and process purchase requests as needed
  • Partner closely with the broader EA team and cross-functional stakeholders to keep things moving
  • Manage personal tasks and logistics for the CEO with exceptional discretion and confidentiality

The Expectations

By day 30, you have learned the systems, tools, and processes that keep the CEO's office running. You know the recurring meetings, the key stakeholders, and the basics of how the CEO likes to work. You are in the calendar and handling day-to-day scheduling with confidence.

By day 60, you have taken full ownership of calendar management and travel coordination. You are anticipating needs, not just responding to them. You have built working relationships with the leadership team and key cross-functional partners, and people know they can count on you.

By day 90, you are running independently. You have a clear picture of the CEO's priorities and use that context to make good decisions about time and sequencing. You have identified at least one or two areas where you can improve how the office operates and have started making those improvements.

You Have

  • 5+ years of experience providing executive administrative support, including direct support of C-suite or equivalent senior leadership
  • Strong attention to detail; you catch things others miss and follow through completely
  • Clear, professional communication skills, both written and verbal
  • A proactive, service-oriented mindset; you don't wait to be asked, and you take ownership of your scope
  • Fluency with Google Workspace and Slack; comfortable picking up new tools quickly
  • Demonstrated ability to handle confidential information with discretion
  • A demonstrated practice of integrating AI tools into your daily workflow to improve speed, quality, and decision-making
  • Fluency with AI across core tasks: research, drafting, analysis, and planning, used as a default, not an exception
  • An authorship standard: you direct, review, and take full accountability for everything you produce

The annual anticipated base salary range for U.S. candidates for this role is listed in USD below. Salary is one component of the Cockroach Labs’ Total Rewards package, which also includes, for each employee: stock options, medical insurance, vision insurance, dental insurance, life and disability insurance, funds towards professional development resources, flexible paid time off, 11 paid holidays a year, 10 paid sick days a year, paid parental leave, a 401(k) plan, and wellbeing benefits.  

We set standard ranges for all U.S.-based roles based on function, level, and geographic location, benchmarked against similar stage growth companies. Actual salaries may vary and fall outside of this range depending on factors such as a candidate’s qualifications, geographic location, skills, experience, and competencies. In addition, we are often open to a wide variety of profiles, and recognize that the person we hire may be less experienced (or more senior) than this job description as posted. 

Salaries for candidates outside the U.S. will vary based on local compensation structures.
