Flex intends to Spin off its Cloud and Power Infrastructure segment into a new, independent publicly traded company, which we’re calling SpinCo, until the name is unveiled. The spin is planned for Q1 2027. If the intended spin occurs, this role will support SpinCo, which will focus on critical digital infrastructure, delivering end-to-end power and thermal management solutions for AI data centers and other mission-critical applications.
To support our extraordinary teams who build great products and contribute to our growth, we’re looking to add a Manager - Administration located in Chennai location.
The Manager – Administration is responsible for the safe, reliable and employee-centric operation of the Chennai office. The role oversees workplace upkeep, hard and soft facilities services, cafeteria operations, employee transportation, vendor performance and administrative governance. The position combines strong on-ground execution with disciplined controls, cost stewardship, stakeholder management and continuous improvement.

What a typical day looks like:
1. Workplace upkeep and employee experience
Own the overall appearance, hygiene, functionality and readiness of the office, including work areas, meeting rooms, common spaces, washrooms, pantries, wellness areas and employee amenities.
Conduct regular workplace rounds, identify snags and service gaps, assign ownership and ensure timely closure.
Oversee housekeeping, pest control, waste management, landscaping, consumables and specialized cleaning schedules.
Manage the Administration helpdesk and ensure employee requests, complaints and escalations are handled professionally within defined turnaround times.
Coordinate workplace readiness for leadership visits, employee events and business-critical activities.
2. Facilities maintenance and infrastructure
Oversee preventive, predictive and corrective maintenance of HVAC, electrical, plumbing, UPS, fire systems, access control, CCTV, public-address systems and other critical infrastructure.
Maintain asset registers, AMC schedules, equipment history, spares and inventory controls; coordinate annual shutdown and planned maintenance activities.
Partner with the landlord, maintenance teams and technical service providers to minimize downtime and business disruption.
Support office fit-outs, refurbishments, space planning, seating changes and infrastructure improvement projects from scope definition through handover.
Monitor energy and utility consumption and implement practical efficiency and sustainability improvements.
3. Safety, compliance and emergency preparedness
Ensure adherence to company EHS standards, statutory requirements and applicable site safety regulations.
Conduct safety inspections, risk assessments, incident reviews and corrective-action follow-up; maintain audit-ready records and licenses.
Maintain emergency response readiness, including fire and life-safety systems, ERT coordination, drills, evacuation equipment and employee awareness.
Support internal, external and regulatory audits and drive timely closure of observations.
Promote a strong safety culture among employees, contractors, drivers and service-partner teams.
4. Cafeteria and pantry operations
Lead cafeteria, pantry and beverage operations, ensuring food safety, hygiene, service quality, capacity management and a positive dining experience.
Govern food quality checks, kitchen safety, statutory documentation, periodic testing and vendor performance.
Monitor utilization, peak-hour congestion, feedback and waste; implement corrective and improvement actions.
Ensure accurate billing, consumption records, inventory control and compliance with agreed commercial terms.
5. Employee transportation
Oversee safe, reliable and cost-effective employee transport operations across applicable shifts, including route planning, vehicle allocation, punctuality and exception management.
Ensure compliance of vehicles, drivers, licenses, insurance, permits, GPS and safety controls, including safe-drop and escort requirements where applicable.
Monitor operational dashboards, employee feedback, no-shows, route efficiency and vendor SLAs; lead root-cause analysis and corrective actions.
Coordinate transport support during business disruptions, severe weather, emergencies and special events.
6. Vendor, commercial and financial governance
Manage service partners across facilities, housekeeping, maintenance, cafeteria, transport and other administration services.
Define and track SLAs, KPIs, staffing, training, statutory compliance and monthly performance scorecards.
Support sourcing, scope development, commercial evaluation, purchase orders, contracts, renewals and vendor transitions.
Prepare and manage OPEX and CAPEX budgets, forecasts, invoice validation, accruals, variance analysis and cost-optimization actions.
Maintain accurate contracts, licenses, logs, service reports, MIS and audit documentation.
7. Team, stakeholder and digital leadership
Lead, coach and develop the administration team and service-partner workforce, ensuring clarity of roles, shift coverage, training and succession readiness.
Partner effectively with HR, Finance, IT, Security, Legal, Procurement, EHS, business leaders and landlords.
Prepare daily, weekly and monthly dashboards and executive updates covering service performance, risks, incidents, costs and actions.
Drive standardization, process simplification and digitalization of administration workflows, dashboards and controls.
Support BCP, crisis management and site-resilience activities as a key operational stakeholder.
The experience we’re looking to add to our team:
Bachelor’s degree in Engineering, Facilities Management, Engineering, Hotel Management or a related discipline; equivalent relevant experience may be considered.
Minimum 10+ years of experience in corporate administration and facilities management, including responsibility for office upkeep, safety, cafeteria and/or employee transportation operations.
Hands-on understanding of building systems and workplace services, with the ability to coordinate technical experts and service partners.
Experience managing vendors, contracts, SLAs, budgets, compliance documentation, audits and employee escalations.
Experience in a large corporate, shared-services, technology or 24/7 operating environment is preferred.
Preferred credentials:
NEBOSH / IOSH / ISO 45001 internal auditor or equivalent safety qualification.
IFMA, facilities management, electrical, HVAC, fire-safety or project-management certification.
